Formula Used

Item Subtotal = Σ (Quantity × Unit Cost)

Discount Value = Item Subtotal × Discount Rate

Discounted Base = Item Subtotal − Discount Value

Tax Amount = Discounted Base × Tax Rate

Reserve Amount = Discounted Base × Reserve Rate

Contingency Amount = Discounted Base × Contingency Rate

Gross Total = Discounted Base + Tax + Shipping + Misc Fees + Reserve + Contingency

Net Total = Gross Total − Grant / Subsidy

Cost Per Student = Net Total ÷ Number of Students

Cost Per Class = Net Total ÷ Number of Classes

FAQs

1. What does this calculator include?

It totals supply line items, then applies discounts, tax, shipping, reserve, contingency, and grants. It also shows per-student and per-class costs.

2. Can I use it for one class only?

Yes. Enter one class and the relevant number of students. The per-class result will then match the full plan total.

3. Should discounts be entered before tax?

Yes. The calculator reduces the item subtotal by the discount first, then applies tax to the discounted base. That reflects many purchasing workflows.

4. What is contingency used for?

It adds a safety margin for price changes, damaged items, or late additions. Small schools often use it to avoid underbudgeting.

5. What is reserve percentage?

Reserve covers future replacements or midterm replenishment. It is calculated from the discounted subtotal, not from shipping or grants.

6. Can grants exceed total cost?

No. A very large grant can reduce the net total to zero, but it should not create a negative budget.

7. Why are per-student costs useful?

They help compare vendors, justify requests, and set equitable supply fees. They also make year-to-year budget reviews easier.

8. Can I export results?

Yes. Use the CSV button for spreadsheet analysis and the PDF button for sharing, filing, or printing budget summaries.
