Formula Used

Gross Minutes = End Time − Start Time, adjusted for overnight shifts.

Net Minutes = Gross Minutes − Break Minutes + Extra Work Minutes.

Tracked Minutes = Meetings + Deep Work + Admin + Communication + Training.

Untracked Minutes = max(Net Minutes − Tracked Minutes, 0).

Overtime Minutes = max(Net Minutes − Overtime Threshold × 60, 0).

Utilization % = (Tracked Minutes ÷ Net Minutes) × 100.

Focus % = (Deep Work Minutes ÷ Net Minutes) × 100.

Billable Minutes = Net Minutes × Billable Share.

Daily Earnings = Net Hours × Hourly Rate.

Deep Work per Task = Deep Work Minutes ÷ Tasks Completed.

FAQs

1. What does this tracker measure?

It measures total shift time, net work time, deep work, collaboration time, admin time, interruptions, billable hours, overtime, and optional earnings from one remote workday.

2. Can I track overnight shifts?

Yes. If the end time is earlier than the start time, the calculator treats the shift as crossing midnight and adjusts gross time automatically.

3. Why does the calculator show an error?

An error appears when tracked activity exceeds net work time or when the inputs create zero usable work time. Adjust breaks, shift times, or category minutes.

4. What counts as productive time?

This version treats deep work and training as productive time because those minutes usually represent concentrated output and direct skill-building work.

5. How is billable time calculated?

Billable time is estimated by multiplying net work time by the billable percentage you enter. This is useful for consulting, support, and agency work.

6. Can I use it for teams?

Yes. Track one person per submission, then export each result and combine records into a team report for payroll, utilization reviews, or planning.

7. What is deep work per task?

It divides deep work minutes by completed tasks. This gives a simple benchmark for how much focused time each finished task required.

8. Are the CSV and PDF downloads automatic?

They become available after a successful calculation. The CSV file stores key metrics, while the PDF creates a clean summary for sharing.
