Add Facility Access Record
About Facility Access Code Logs
A facility access code log provides a controlled record of who receives access, where that access applies, and when it should be reviewed. Good records reduce confusion during staff changes, contractor visits, temporary projects, and security audits. This generator keeps the operational details together while masking code values in visible reports.
How to Use This Generator
Start with the facility and access point details. Add a unique reference ID for each assignment. Enter the responsible person, team, vendor, visitor, or contractor. Set permitted locations, days, and time ranges when access should be limited. Add issue, activation, expiration, rotation, and review dates. The summary automatically highlights expired records, upcoming expirations, revoked access, and overdue reviews.
Safer Code Handling
Access codes should be treated as sensitive credentials. This tool masks codes immediately after submission and excludes full codes from CSV and PDF output. A session-specific fingerprint can still warn when the same code is entered twice. Organizations should also control who can view the page, protect sessions, use HTTPS, and follow internal credential policies.
Review and Rotation Practices
Temporary access should have clear start and end dates. Contractor and visitor credentials should expire promptly after the approved task. Permanent codes should be reviewed on a defined schedule. Revoke access immediately when roles change or access is no longer required. Audit notes can document exceptions, approvals, and replacement references without exposing the secret itself.
Using the Reports
The searchable table supports quick checks by person, access point, assignment type, and status. CSV exports are useful for internal reconciliation and spreadsheet analysis. PDF output creates a convenient printable summary for reviews or meetings. Before sharing any report, verify that its audience is authorized to see facility and personnel details.
Example Review Schedule
| Access category | Suggested review trigger | Typical action |
|---|---|---|
| Visitor | End of visit | Expire or revoke immediately |
| Contractor | Project completion | Disable access and record closure |
| Employee | Role change or periodic review | Confirm locations and permissions |
| High-security area | Frequent scheduled review | Rotate credentials and verify approval |
