This calculator builds a quote from line items using the following approach:

  • Base rental per machine is priced using your selected strategy: daily × days, weekly blocks + remainder, monthly blocks + remainder, or DP best rate.
  • DP best rate computes the minimum cost for N days using blocks: 1-day (daily), 7-day (weekly), and 30-day (monthly).
  • Extra usage fees: max(0, hours/day − included) × fee × days × qty.
  • Wear & add-ons add per-day or one-time costs.
  • Delivery: base + (distance × trips × per-mile), optionally multiplied by quantity.
  • Fuel surcharge and damage waiver are percentages of base rental.
  • Discount reduces subtotal before tax.
  • Tax: taxable subtotal × tax rate, based on your taxable toggles.
  • Total: subtotal − discount + tax. Deposit is shown separately as refundable.

1) Define your rental scope

Start with slab size, finish level, and pour schedule. Small residential pads often need one walk-behind trowel for a short window, while large floors may need multiple machines. Estimate by calendar days because rental billing is typically day-based. Add a buffer day for weather or delays.

2) Choose walk-behind or ride-on

Walk-behind units fit tight spaces and moderate square footage. Ride-on models improve output on open slabs and reduce labor fatigue. In many markets, walk-behind rentals land around $80–$150/day, while ride-on rentals are often $250–$450/day, depending on size, brand, and season.

3) Understand daily, weekly, and monthly rates

Pricing usually comes in daily, 7-day weekly, and 30-day monthly blocks. If your schedule is uncertain, “Auto best rate” can prevent overpaying by combining blocks to minimize the base rental cost for your total days. Many suppliers also enforce minimums, such as one day.

4) Include delivery and pickup logistics

Delivery is often priced as a base fee plus mileage, and some suppliers charge per machine. This calculator uses: base + (distance × trips × per-mile). Enable round trip when pickup mileage is billed.

5) Add accessories and wear items

Float pans, blade sets, and wear fees materially change the quote. A common pattern is float pans billed per day (about $10–$25/day) and blade sets billed one-time (about $30–$80). Use these fields to match your supplier’s terms. If you rent multiple machines, match accessories to quantity.

6) Model extra usage hours

Some contracts include a standard number of hours per day, then apply an overtime fee. If your crew runs extended shifts, enter hours per day and included hours to estimate extra usage: max(0, hours − included) × fee. This helps plan overtime pours and night work.

7) Apply waiver, discounts, and deposits

Damage waivers are commonly a percentage of the base rental, and deposits affect cash needed at pickup even if refundable. Add contractor discounts as a percent or fixed amount to reflect negotiated pricing or multi-unit rentals. Track deposits separately for accurate cash flow.
