Formula Used

First, compute the period recurring subtotal: Subtotal₀ = Base + Add-ons + Support

Apply discount: Discount = Subtotal₀ × (percent/100) or Discount = fixed (capped at Subtotal₀).

Allocate setup fee across months and prorate into the selected period: Setup(period) = (Setup ÷ AmortizeMonths) × PeriodMonths

Add optional contingency buffer: Buffer = (Net + Setup(period)) × (Buffer%/100)

Apply taxes: Tax = (Net + Setup(period) + Buffer) × (Tax%/100)

Grand total for the period: GrandTotal = Net + Setup(period) + Buffer + Tax

FAQs

1) What is the difference between per-seat and per-active-user cost?

Per-seat spreads the total spend across purchased seats. Per-active-user spreads spend across actual users. If adoption is low, per-active-user highlights waste from unused seats.

2) How should I enter annual pricing?

Choose Annual and enter the full annual base cost, add-ons, and support costs. The calculator converts everything to monthly and annual equivalents for quick comparisons.

3) What does setup fee amortization mean?

It spreads a one-time onboarding charge across several months. This helps estimate steady-state per user costs when your team treats setup as a recoverable investment.

4) When should I use the contingency buffer?

Use it when costs may rise due to growth, overages, or future add-ons. A small buffer can prevent under-budgeting when your usage or pricing is uncertain.

5) Does the discount apply to setup fees?

No. The discount is applied to the recurring period subtotal (base, add-ons, and support). Setup is allocated separately and then added to the net subtotal.

6) How is utilization calculated?

Utilization equals active users divided by seats purchased. Low utilization suggests you may be over-licensed or need adoption improvements to reduce effective per-user cost.

7) Why is per-active-user cost sometimes shown as N/A?

If active users is entered as zero, the calculator cannot divide costs across active users. You can still rely on per-seat and monthly equivalent totals.

8) Can I use this for mixed products and bundles?

Yes. Put the bundled recurring fees into base cost, and record extra modules in add-ons. Keep the period consistent so comparisons remain accurate.
