Example Data Table

This sample illustrates how the calculator can be used for quote review, surcharge policy testing, and invoice validation.

Lane Base Freight Distance Current Fuel Price Trigger Fuel Price Method Estimated Surcharge
Regional Retail $1,850.00 540 Miles $4.95 $3.50 Higher of both $195.30
Cold Chain Express $2,600.00 680 Miles $5.20 $3.60 Index step percentage $328.00
Bulk Replenishment $4,150.00 910 Miles $4.70 $3.40 Direct fuel recovery $214.67

Formula Used

The calculator supports three pricing approaches so teams can mirror carrier tariffs, internal recovery policies, or customer contracts.

1) Effective trigger

Effective Trigger = max(Baseline Fuel Price, Trigger Fuel Price)

Only fuel price above the effective trigger creates a surcharge.

2) Index step method

Steps Crossed = floor((Current Fuel Price − Effective Trigger) ÷ Price Step)

Surcharge Rate = Steps Crossed × Percent Per Step

Index Surcharge = Base Freight × Surcharge Rate

3) Direct recovery method

Fuel Units Used = Distance ÷ Fuel Economy

Fuel Delta Cost = Fuel Units Used × (Current Fuel Price − Effective Trigger)

Direct Recovery = Fuel Delta Cost × Recovery Rate

Final surcharge subtotal = chosen method result + flat fuel fee, then adjusted by minimum and maximum fee rules.

Total surcharge per shipment = final subtotal + tax amount.

How to Use This Calculator

  1. Select the pricing method that matches your contract or internal policy.
  2. Enter base freight, distance, shipment count, and billable weight.
  3. Provide current, baseline, and trigger fuel prices from your chosen index.
  4. Set the increment step and surcharge percent for tariff-style pricing.
  5. Enter fuel economy and recovery rate for direct trip-cost recovery.
  6. Add flat fee, minimum, maximum, and tax settings if your agreement includes them.
  7. Submit the form to view the result above, plus a scenario graph and exportable tables.
  8. Use the CSV and PDF buttons to share calculations with customers, finance, or operations teams.

FAQs

1) What does a fuel surcharge cover?

A fuel surcharge recovers fuel-cost volatility that sits outside the base freight price. It helps carriers and shippers keep transport pricing fair when diesel or gasoline costs move unexpectedly.

2) Why use both baseline and trigger prices?

Some contracts store an original benchmark and also define a formal activation trigger. Using the higher value prevents surcharge billing until both pricing references are safely exceeded.

3) When should I choose the index step method?

Choose it when your tariff adds a fixed percentage for each fuel-price band crossed. This mirrors many parcel, LTL, and contract carrier surcharge schedules.

4) When is direct recovery better?

Direct recovery works well for dedicated fleets, route-level costing, and private carriage. It ties the surcharge to actual distance and fuel efficiency rather than only freight value.

5) Why add minimum and maximum fees?

Minimums stop very small charges from eroding billing efficiency, while maximums avoid unreasonable invoices during extreme fuel spikes. Both controls improve commercial predictability.

6) Should taxes apply to fuel surcharges?

That depends on jurisdiction, invoice structure, and contract wording. This tool lets you model tax-on-surcharge situations, but you should confirm the correct treatment with finance or tax advisors.

7) Can I use this for parcel, LTL, or full truckload?

Yes. The calculator is flexible enough for parcel, LTL, full truckload, dedicated lanes, and internal transfer costing, as long as your input assumptions match the pricing policy.

8) What does the Plotly graph show?

The graph plots fuel price on the horizontal axis and calculated surcharge per shipment on the vertical axis. It helps you see how charges change across future fuel scenarios.
