Example Data Table

Use this sample to understand how input changes affect cycle performance.

Scenario Completed Services Gross Minutes Total Loss Minutes Net Minutes Net Cycle / Service Throughput / Hour
Baseline Team 250 9600 1110 8490 33.96 min 1.77
Lower Waiting 250 9600 870 8730 34.92 min 1.72
Higher Output 300 9600 1110 8490 28.30 min 2.12
Heavy Rework 250 9600 1410 8190 32.76 min 1.83

Formula Used

This calculator treats service cycle time as the average productive minutes required to complete one service item over a selected period.

1. Gross Available Minutes
Scheduled Hours Per Day × 60 × Workdays × Staff Count

2. Total Loss Minutes
Break Minutes + Waiting Minutes + Rework Minutes + Setup Minutes + Downtime Minutes

3. Net Service Minutes
Gross Available Minutes − Total Loss Minutes

4. Gross Cycle Time
Gross Available Minutes ÷ Completed Services

5. Net Cycle Time
Net Service Minutes ÷ Completed Services

6. Flow Efficiency
(Net Service Minutes ÷ Gross Available Minutes) × 100

7. Throughput Per Hour
Completed Services ÷ (Net Service Minutes ÷ 60)

8. Daily Capacity At Target
Net Service Minutes ÷ (Workdays × Target Cycle Minutes)

Use period totals for the entire team. This makes the cycle metrics easier to compare across weeks, shifts, teams, or service channels.

How to Use This Calculator

  1. Enter the number of completed services for the time period.
  2. Add scheduled daily hours, workdays, and staff count.
  3. Enter all loss minutes for breaks, waiting, setup, rework, and downtime.
  4. Set a target cycle in minutes for comparison.
  5. Click the calculate button to show results above the form.
  6. Review the graph, metrics, and gap to target.

Frequently Asked Questions

1. What does service cycle time mean?

It is the average time needed to complete one service item during the selected period. This version focuses on productive time after subtracting delays, breaks, setup, rework, and downtime.

2. Why does the calculator show gross and net cycle time?

Gross cycle time uses all scheduled minutes. Net cycle time removes avoidable and unavoidable losses. Comparing both helps you see whether poor performance comes from low capacity, delays, or process waste.

3. Should I enter data per employee or for the whole team?

Enter totals for the whole team over the chosen period. Team-level totals produce more stable metrics and help compare weeks, shifts, or service channels without manually combining separate calculations later.

4. Why are waiting and rework included?

Waiting slows delivery even when staff are available. Rework consumes capacity without creating new completed services. Including both gives a truer view of actual service speed and process efficiency.

5. What if my loss minutes exceed available time?

The calculator caps net service minutes at zero and shows a warning. That usually means data overlap, incorrect time windows, or duplicated delay categories. Review your inputs before using the result for decisions.

6. Can I use this for support desks or ticket teams?

Yes. It works well for ticket handling, customer onboarding, internal service desks, maintenance queues, and approval workflows. Any service process with completed units and time losses can use this model.

7. What does daily capacity at target show?

It estimates how many services the team could complete per day if the actual process consistently meets the target cycle time. It is useful for staffing plans and service-level forecasting.

8. Can I save or share the results?

Yes. Use the CSV button for spreadsheet analysis and the PDF button for quick sharing. The exported file includes both input values and the calculated service cycle performance metrics.
