How This Occupancy Tracker Works
This tracker converts simple movement counts into useful facility occupancy measures. Start with the number already inside the facility. Add new entries during the selected reporting period. Subtract exits recorded during that same period. The remaining number becomes current occupancy.
Capacity utilization shows how much usable space is occupied. The tool compares current occupancy with the maximum allowed capacity. It then shows available spaces and an occupancy percentage. Custom warning and critical thresholds create clearer operating signals.
How to Use This Calculator
Enter the facility name and maximum occupancy first. Add the reporting date and useful operating details. Record starting occupancy plus entries and exits. Use visitor categories when a demographic breakdown helps staff.
Add separate areas for rooms, floors, departments, or event spaces. Each area can have its own capacity. Enter movement counts for every area you want tracked. Submit the form to build the result table.
Formula Used
Current Occupancy = Starting Occupancy + Entries − Exits
Available Capacity = Maximum Capacity − Current Occupancy
Occupancy Percentage = Current Occupancy ÷ Maximum Capacity × 100
Why Occupancy Records Matter
Consistent records support staffing, scheduling, safety checks, and space planning. Peak periods can reveal where queues or crowding occur. Quiet periods can reveal unused rooms or unnecessary staffing.
Zone tracking is especially helpful in mixed-use buildings. A facility may look comfortable overall while one room becomes crowded. Separate area limits show those differences quickly. Notes also preserve useful context for later reviews.
Practical Reporting Tips
Use the same counting method whenever possible. Keep reporting intervals consistent across comparable days. Review thresholds before large events or schedule changes. Save snapshots when staff need a simple historical record.
CSV exports work well for spreadsheets and deeper analysis. PDF reports are useful for sharing fixed summaries. Printed copies can support front desks or event teams. The browser history table can quickly compare saved periods.
Occupancy data should support local safety procedures and posted limits. This tool does not replace official capacity determinations. Always follow applicable building requirements and emergency instructions.

Frequently Asked Questions
What does current occupancy mean?
It is the calculated number of people currently inside. The calculation uses starting occupancy plus entries minus exits.
Can I track several rooms separately?
Yes. Add as many area rows as needed. Each row can store its own capacity and movement counts.
What happens when capacity is exceeded?
The result shows an over-capacity status. Staff should then follow applicable facility procedures and official occupancy requirements.
Are saved records stored on a server?
No. The optional snapshot feature stores records locally in the current browser.
What is included in CSV and PDF downloads?
Exports include facility summary data and the current area table. The PDF also includes the main occupancy status.
Can this tool determine legal occupancy limits?
No. Enter an approved capacity from the appropriate authority. Use the tracker only for operational counting and reporting.
