Formula Used

For each item, the line total is calculated as:

net = qty × unitPrice
itemDiscount = net × (disc% ÷ 100)
reuseCredit  = (net - itemDiscount) × (reuse% ÷ 100)
lineTotal    = (net - itemDiscount - reuseCredit)

Let Sub be the sum of all lineTotal values. Then:

globalDiscount = Sub × (globalDisc% ÷ 100)
taxBase        = (taxAfterDiscount) ? (Sub - globalDiscount) : Sub
taxAmount      = taxBase × (tax% ÷ 100)
Grand Total = (Sub - globalDiscount) + taxAmount + Shipping
Per Student = Grand Total ÷ Students
Variance = Budget - Grand Total

If Variance is positive, you are under budget; if negative, you are over budget.

How to Use This Calculator
  1. Set the number of students, your total budget, local sales tax, and any shipping or handling.
  2. Enter items by category. Fill in quantity, unit price, optional discount percent, and reuse percent if you already have some supplies.
  3. Use Priority to mark must‑have items. You can sort and export the table for record‑keeping.
  4. Adjust the Global Discount % slider to simulate coupon codes or store promotions.
  5. Review totals: subtotal, discounts, tax, shipping, grand total, per‑student cost, and budget variance. Export as CSV or PDF.
Frequently Asked Questions

Yes. Use the Students field to see per‑student costs. To itemize by student, add the student name in Notes or duplicate rows for each student.

Item‑level discounts and reuse reduce each line total first. Global discount then applies to the subtotal. By default, tax applies after discounts; toggle the switch to change behavior.

It helps you label items as High, Medium, or Low importance for decision‑making. You can sort by priority before exporting to focus on essentials first.

A negative variance means your grand total exceeds your budget. Try adjusting quantities, applying discounts, or increasing reuse percentage to bring spending under control.

Export CSV to save your list and totals. You can later re‑import the data into spreadsheets or keep a record alongside the PDF summary.
